What You Need to Know About Catering for a Birthday Party

We’ve all been there. Someone is celebrating their birthday;  you either end up at a restaurant where half of your group is late and then you need to worry about remembering to ask to get the bill split, or you decide to avoid that struggle and host at home. In the latter scenario, you find yourself planning and cooking and perhaps wishing that you were at that restaurant–at least then you’re not the one in the kitchen right? There’s always a third option: catering for a birthday party.

Catering for a Birthday Party

Catering isn’t just for office parties and wedding receptions. Perhaps more accessible now than ever, catering is on the rise and the answer to many of your birthday party catering and planning woes! Imagine, all you need to worry about is decorating and hosting. You’ll be able to spend time with your guests and enjoy a significantly less stressed birthday memory. You may not have ever considered getting a birthday event catered for, so we’ve put together a list of FAQs for you below.

Catering For A Birthday Party: 12 Answers To Crucial Questions

1. Do you specialise in certain cuisines?

ChefXChange Cuisine Choices

We do! Did you know that you can search by experience and cuisine? Once you’ve done your initial search based on experience, city, and date, you can add more filters to your search. Your father only loves tiramisu? Pare down your search results by chefs who specialise in Italian and you’ll be set-up with a delicious Italian meal and special birthday tiramisu in no time!

2. Considering my party budget and guest count, what food choices would you recommend?

Good question! The options are pretty much endless. But as a guide, here are a few things to consider:

  • The more guests you have, the easier it becomes for the chef to scale ingredients and maintain price. A seated 3-course meal for 4 pax will be more expensive per person than the same 3-course meal for 12. The same goes for catering!
  • One way we don’t think you can go wrong no matter how many guests you have or your budget – canapés! Canapé, or small bites, can be created for all budgets. Sweet, savory, salty, umami, Italian, French, Japanese, Middle Eastern, the world is your oyster!

3. Can you create a customised menu for our party or event?

Absolutely! If you have a vision for your culinary experience, don’t be shy. Tell your chef or community manager what you have in mind and we’ll work together to execute your vision. If your only concern is that your guests are vegan, pescatarian, gluten-free and sometimes Paleo, worry not. We can also customise your menu for the applicable dietary restrictions.

4. Will the food be prepared on-site or be brought in already prepared?

Either/or/both! This depends on you, dear foodie. If you don’t want your kitchen to be utilized, or you don’t want the chef to be present during the celebration, you can have them simply provide a “drop-off catering” service, you can even ask to pick it up from the chef if you’d prefer. Otherwise, your chef will arrive with as much prepped as possible and will put the finishing touches on the dishes prior to serving them. Think of it as a catering/private chef hybrid.

5. How much do you charge for children’s meals?

When you initially reach out to our chefs, please mention how many adults and how many children will be at your event. He/she will price it accordingly and likely will give you an overall price per pax, working the smaller bellies and eating habits into the equation. If you’d like the chef to price adults and children separately, please let them know when you first begin chatting with them.

6. When would I need to finalise the menu?

Planning in advance is key. This way, you and the chef can chat together and get all of the details hashed out well in advance. For catering, we suggest reaching out to chefs at least one week in advance

7. What time will you and your staff arrive at the site?

Let your chef know what time you would like food to be served and he/she will tell you how far in advance he/she will need to arrive.

8. Do you bake a cake? If yes, then is it included in the price or is an additional charge?

birthday cake

Most of our chefs bake as well. If they aren’t avid bakers as well, their roladex is chock full of bakers. If you’d like a special birthday dessert, mention it to your chef when you first reach out to them on the platform, and they will work it into their pricing. Our chefs will give you a “per pax” price which is all inclusive of prep, time, service, on-site preparation etc. If you’d like the per pax price for food and then a separate quote for the cake, that’s not an issue – just ask!

9. Will you be bringing your own crockery or you will be using ours?

When you sign-up for a foodie profile, you’re prompted to describe your kitchen. This way, the chef knows what it’s equipped with. If you don’t have much in your kitchen, the chef will bring what he/she needs.

10. Do you provide alcoholic or non-alcoholic beverages?

glass of rosé

We provide both! If you’d like to discuss alcoholic beverages with your chef, mention it in the beginning stages. Many of our chefs have their go-to bartenders and sommeliers and can arrange for those services to be included with their catering services.

11. How do you charge for alcoholic and non-alcoholic beverages? Per consumption or per person?

You can discuss this with your chef. Generally, the pricing would be per person or a set price (see #12).

12. Can we provide the alcohol and you provide the bar labor?

Yes! If you have alcohol that you’d like to have served, our chefs can generally provide bar labor at a set rate.

These questions come up often and we do hope the answers give you a clearer image of what catering for a birthday party occasion can look like. The golden rule, if you’re not sure, just ask! Your Community Manager in your respective city is your go-to resource for your upcoming culinary experience.
